Position Summary:

The Program Coordinator is in charge of managing the Institute’s front office and library including providing friendly, knowledgeable, and professional customer service. Provides workshop support including logistics, training materials, and database. Provides administrative support to Program Managers. This position reports to the Program Manager.

Essential Job Functions:

Workshop/Program Logistics Responsibilities


  • Coordinate logistics for workshops/trainings including room reservations, catering, classroom technology, and travel arrangements when needed
  • Prepare materials for workshops/trainings including checklist items, e.g., evaluations, parking passes, training materials/handouts, “toolbox” of basic supplies, etc
  • Maintain electronic workshop files


Library

  • Assist library customers, as needed
  • Maintain a database of all resources in inventory and their status

    Office Management

  • Greet and direct the flow of visitors
  • Answer telephone, screen calls, schedule appointments, respond to inquiries, route calls, schedule the conference room, and maintain appropriate records of communications
  • Coordinate supply inventories for instructional programs and officeSort and distribute mail

 Other

  • Commit to after-hours events and programs
  • Engage in strategic planning and development with staff
  • Facilitate and develop relationships with administration, faculty and students of Rollins College
  • Performs related duties as assigned

Minimum Qualifications:

  • Database management experience
  • Proficiency in the Microsoft Office software suite
  • Thorough knowledge of business English, spelling and grammar
  • Knowledge and practice of organizational and time management skills
  • Strong oral and writing skills
  • Value and perform as a team member
  • Strong ability to multi-task with a high level of organization and detail orientation


Preferred Qualifications:

  • Bachelor’s degree
  • Event planning experience
  • Knowledge of HTML, Event Management System (EMS) and mass email software
  • Bilingual


Work Environment

  • Fast-pace office environment with multiple daily/weekly deadlines
  • Regular use of a computer and databases
  • May require travel to outside meetings, vendors, etc.
  • Overtime and flexible scheduling required, as needed
