The Executive Assistant serves as the support to the (4) members of the Catholic Foundation Executive Team and will ensure that our mission-driven daily operations are run effectively and in accordance with the established goals, objectives and timeframes.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following with other duties which may be assigned:

  • Maintains positive relationships with internal and external constituents.
  • Works with the Administrative Assistant to record, prepare, and process daily receipts of payments.
  • Answers phones and directs all incoming calls to appropriate party promptly and efficiently.
  • Communicates and handles incoming and outgoing electronic communications on behalf of the Executive Team.
  • Manages the electronic calendar of the President and Executive Team keeping them up-to-date and accurate and allowing for preparation and travel between appointments and other events. Confirms appointments and provides necessary logistics. May request meetings discreetly and must be able to handle confidential information as well as prioritize conflicting needs and handle matters expeditiously and proactively.
  • Coordinates meetings with board members, partners, staff, donors and outside stakeholders as requested. Prepares meeting materials and setup as needed.
  • Responsible for preparing board documentation and attending meetings and taking minutes for various meetings as needed.
  • Coordinates and manages logistics for annual board retreat and for all staff meetings and retreats.
  • Works closely and effectively with the President to ensure he/she is well informed of upcoming commitments and responsibilities.
  • Coordinate and lead project-based work as needed to support the team.
  • Provide general administrative support with the office operations.
  • Assists the team with preparation of presentation materials. Reviews and summarizes miscellaneous reports and documents; prepares background documents and outgoing mail as necessary.
  • Coordinates travel arrangements for the Executive Team, board and visiting guests, consultants and stakeholders.
  • Manages special occasions and gratitude gifts.
  • Prioritizes and manages multiple projects simultaneously and follows up on projects in a timely manner.
  • Has excellent communication skills, both verbal and written as well as interpersonal skills and customer service with all internal and external constituents.
  • Ability to adapt and learn.
  • Works well collaboratively as well as independently with little or no supervision.
  • Well organized, flexible, and enjoys the administrative challenges of supporting an office of diverse people and programs.

· Five (5)+ years’ experience supporting at the executive level;

· Bachelor’s degree preferred or an equivalent combination of college and related experience;

· Proficiency with Microsoft Office required and Blackbaud software preferred or other constituent/donor relationship management system;

· Must be highly organized, accurate and detail oriented;

· Solution oriented and able to maintain the goodwill and reputation of the team;

· Ability to map, manage and track projects that involve multiple stakeholders;

· Skilled in taking meeting minutes;

· Ability to work with diverse groups of people in an atmosphere of collaboration and service;

· Excellent written and oral communication skills;

· Possess demonstrated ability to work in a church-related as well as service-oriented environment;

· Bi-lingual (Spanish) preferred;

· Must be a practicing Christian; Catholic preferred

· Ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality;

· Strong decision-making ability and attention to detail.


Ability to read, analyze, and interpret common journals, articles, and periodicals. Must have outstanding problem-solving skills. Excellent communication and interpersonal skills required.


Ability to apply routine mathematical concepts such as addition, multiplication, and division.


Ability to define problems, collect data, establish facts, and draw valid conclusions.


Position requires walking, sitting for extended periods of time, bending, stretching, and stooping. Repeated use of hands, fingers, wrists, and arms. Must be able to see up close as well as from afar. Job incumbent must also possess the ability to hear and communicate both verbally and in writing, in person and via telephone and electronic communications.
