GENERAL FUNCTION:

This position is responsible for maintaining and overseeing the smooth operation of the KIDTRAX membership management system; implementing system upgrades as issued by NFocus, training system users at all sites; generating on-demand and regular weekly, monthly and annual statistical reports; overseeing annual National Youth Outcomes implementation and analyzing outcome results.

This position is also responsible for the development, management, coordination and tracking of all activities related to professional development across the agency.  The position works closely with all levels of staff and management to ensure that professional development and talent management processes are developed and implemented.

KEY ROLES:

Membership & Outcomes (85% of position)

  1. Maintain a system of data integrity that will ensure all BGCCF KIDTRAX data accurately reflects correct Club Members' information in the following fields:
  • Average Daily Attendance (ADA)
  • Annual Family Income
  • Single Families
  • Free and Reduced Lunch participation
  • Demographics
  • Grade Level Advancement
  • Club Attendance
  • 52 times a year or more
  • Tenured members
  • Two or more years
  • One to two years
  • Less than one year
  • High School Graduation rates
  • Member Community Service Hours
  1. Generate a monthly dashboard to be shared with Management team, Board, and other key stakeholders.
  2. Run KIDTRAX reports as requested by the Management team.
  3. Maintain confidentiality of data, and instruct others to similarly maintain privacy
  4. Stay abreast of changes within the KIDTRAX System, implement upgrades to the system and inform supervisor and clubs of the changes.
  5. Coordinate repairs/ordering of new equipment including scanners, laptops and printers.
  6. Report statistics and challenges
  7. Regularly conduct training of KIDTRAX users regarding:
    1. Maintain current Membership Record for all members
    2. Maintenance of Membership Statistics
    3. Recording daily attendance
    4. Recording program participation
    5. Charging fees and collecting payment
  8. Troubleshoot KidTrax challenges experienced by users, in conjunction with nFocus.
  9. Ensure all sites are using membership cards to scan attendance in and out of the Club on a daily basis.
  10. Provide oversight for National Youth Outcomes assessment and analyze results.

Training (15% of position)

  • Oversee the development of all curricula used for trainings, including a culturally immersive on-boarding process for new employees.  Review and update current curricula regularly.  Develop, manage, review, and update a training resource manual.   Ensure all certification courses are up-to-date, including DCF regulations, CPR and First Aid.
  • Oversee the implementation of all training curricula.  This includes, but is not limited to, scheduling trainings and trainers, preparing the space with appropriate materials and equipment, and providing support (as needed) to trainers.
  • Ensure that training, including new hire orientation, is being conducted on a regular basis utilizing certified internal and external training associates.
  • Ensure employees are utilizing the resources on www.bgca.net such as Leadership University.
  • In the future, create and maintain a Professional Development Committee consisting of employees from different parts of the organization. 
  • Work closely with the HR Director, COO and VPs relative to the training/professional development needs of the agency. 
  • Research and recommend the agency wide professional development resources budget, including identifying opportunities and reviewing and processing staff/manager training/professional development requests. 
  • Work toward creating professional development plans (within performance evaluations) and staff training reports. 
  • Research and disseminate information regarding external trainings and conferences.  Develop a library of training materials to include all media (online, print and live opportunities).
  • Participate in national, state and local organizations to maintain state of the art knowledge and skills; contributing to the field through research and development.

Position Requirements (Education, Experience, Knowledge, Skills, Abilities, Work Demands)

  • Bachelor's Degree.
  • A minimum of 3-5 years database management experience required.
  • A minimum of 2-3 years of training experience. Ability to present in front of small, large, and diverse groups.
  • Previous training program management experience.
  • Knowledge of youth development principles or relevant youth development work experience preferred.
  • Intermediate/advance working knowledge of Windows (Word, Excel, Access and PowerPoint) applications. 
  • Organization skills and ability to prioritize multiple tasks.
  • Ability to identify issues, concerns and problems and bring to supervisor.
  • Excellent communication skills (verbal and written)
  • Must be able to commute to different locations to attend trainings and meetings. 
  • Ability to troubleshoot basic hardware and software challenges.

PHYSICAL AND MENTAL REQUIREMENTS

Superior data entry skills and high degree of accuracy are needed. Attention to detail, and ability to discern logic inconsistencies. Comfortable performing multi-faceted projects in conjunction with day-to-day activities. Superior interpersonal abilities. Ability to get along with diverse personalities, at all times displaying tact, maturity and flexibility. Good reasoning abilities and sound judgment. Physical requirements include sight, hearing, sitting for four plus hours per day. Skills essential for successful communications include speaking and writing.
