Description & Details

The Orlando Ballet School exists to enrich the lives of children, train the next generation of artists, and build future audiences.  The School Administrator provides essential support to Orlando Ballet School’s daily operations, administration and customer service.  As a fundamental part of the School’s administration, the School Administrator reports to the School Business Manager and works closely with the School Principal for the South Campus. 

 

The School Administrator is the primary contact for parents, students, faculty, and staff at the South Campus.   He/she will maintain a positive, comfortable environment in the school.  Paramount to this position is to develop and maintain positive relations with parents and students and assist in enrolling and retaining prospective and existing customers. 

Studio Administration:

  • Serve as the first line of communication and foster positive relationships with existing and prospective families; provide ongoing support for clients and staff; respond to inquiries and needs in a timely manner by phone, email and in-person.
  • Maintain student attendance records, schedule make-up classes, and sign in/out forms.
  • Schedule placement auditions for prospective students and communicate results.
  • Collect and record payment for drop-in classes, merchandise, placement, tuition, and auditions.
  • Administrate adult and community classes and related transactions.
  • Identify, train, and coordinate part-time Administrators, Trade Parents and/or volunteers as needed.

Daily Operation:

  • Handle office management needs including ordering office supplies, maintain and post collateral materials, bulletin boards and office equipment (printer, computer, phone system).
  • Use studio management software to maintain, monitor, and report on accounts.
  • Support events (Open House, Parent Observation Week, Showcases) and other Orlando Ballet events and activities as requested.
  • Ensure the smooth operation of all aspects of the South Campus, monitoring and reporting facility maintenance and IT concerns as needed.

 

Administrative Support:

  • Assist with weekly/bi-weekly/monthly financial tracking and reconciliation
  • Facilitate bi-weekly payroll process for South Campus employees
  • Support both internal and customer communications including calendars, emails, and signage
  • Assist with promoting, contracting and reporting studio rental
  • Attend administrative meetings
  • Other job-related assignments as required

 

Qualifications:

  • 2+ years of prior administrative and customer service experience required
  • Proficient in Microsoft Office with database management experience required, experience in ACTIVE software a plus

 

Desired Skills:

The ideal candidate will be highly organized, proactive and demonstrate a pleasant, helpful attitude at all times in order to support the Orlando Ballet School and maintain smooth operations in a busy work environment.  Excellent communication skills, both written and verbal, are required as is the ability to manage multiple priorities, while maintaining a professional demeanor and work as a member of a team.  Must be enthusiastic about arts/dance education and have sensitivity and a caring attitude toward children and their parents.
